Artist Booth Booking Terms & Conditions
These Terms & Conditions apply to all artist and studio booth bookings for the Cornwall Tattoo Convention (“the Convention”). By submitting an application, making payment and/or accepting a booth, the applicant confirms that they have read, understood and agreed to these Terms & Conditions.
1. BOOTH APPLICATIONS & CONFIRMATION
All booth applications are subject to approval by the Cornwall Tattoo Convention.
Submission of an application does not automatically guarantee a booth. A booking is only confirmed once the application has been accepted by the Convention and the required payment has been received.
The Convention reserves the right to refuse an application where it considers the artist, studio, proposed activity or application unsuitable for the event.
2. PAYMENT
All booth fees must be paid by the payment deadline stated on the booking confirmation or invoice.
Failure to make payment within the required timeframe may result in the booth being released and offered to another artist or studio.
Any applicable VAT will be added to prices where required.
3. CANCELLATIONS & REFUNDS
Artists have 15 days from the date their booking is confirmed to notify the Convention in writing if they wish to cancel their booth booking.
After this 15-day period, all booth booking fees and payments are non-refundable.
If an artist is unable to attend after the 15-day cancellation period, the Convention is under no obligation to issue a refund, credit or transfer.
The Cornwall Tattoo Convention reserves the right to reallocate, resell or offer the cancelled booth space to another artist or third party. The resale or reallocation of the booth does not entitle the original booking holder to a refund.
Bookings cannot be privately sold, transferred or passed to another artist or studio without prior written approval from the Convention.
4. ARTIST CHANGES
The artist(s) named on the original application are the artist(s) authorised to attend and work from the booked booth.
Any request to replace or change a named artist after the original application has been accepted will incur an administration fee of £50 per artist change.
All artist changes must be requested in writing and are subject to approval by the Cornwall Tattoo Convention.
Payment of the £50 administration fee does not automatically guarantee that a replacement artist will be approved.
The replacement artist must meet all of the Convention's application, licensing, insurance, hygiene and professional requirements.
5. ADDITIONAL ARTISTS
Only artists who have been declared, approved and paid for as part of the booking may work from the booth.
Artists may not share their booth with, sublet space to, or allow an undeclared artist to tattoo from their booth.
Where additional artist spaces are available, these must be booked and paid for through the Convention.
6. LICENSING, REGISTRATION & LEGAL REQUIREMENTS
Every tattoo artist is responsible for ensuring that they hold all licences, registrations, certificates, permissions and insurance required to legally tattoo at the Convention.
Artists must provide any documentation requested by the Convention, venue, local authority or other relevant regulatory body within the requested timeframe.
Failure to provide the required documentation may result in the artist being refused permission to work at the Convention without refund.
Artists must comply with all applicable tattooing, infection prevention, hygiene, waste disposal, health and safety and local authority requirements.
7. INSURANCE
All artists must hold appropriate and valid insurance covering their activities at the Convention.
Evidence of insurance must be supplied if requested.
The Cornwall Tattoo Convention accepts no responsibility for an artist's failure to obtain appropriate insurance or regulatory approval.
8. BOOTH ALLOCATION
Booth positions are allocated by the Cornwall Tattoo Convention.
While we will consider reasonable requests, specific booth locations cannot be guaranteed unless expressly confirmed in writing.
The Convention reserves the right to alter booth positions, layouts, entrances, aisles or event infrastructure where necessary for operational, safety, licensing or event management reasons.
9. BOOTH SPACE
Artists must remain within the dimensions of the booth space they have booked.
Equipment, furniture, displays, banners and personal belongings must not obstruct gangways, emergency exits, neighbouring booths or public areas.
No permanent alterations or fixings may be made to the venue or Convention infrastructure without prior permission.
Artists are responsible for keeping their booth clean, professional and safe throughout the event.
10. ELECTRICAL EQUIPMENT
Any electrical equipment brought to the Convention must be safe, suitable and maintained in good condition.
Where required, electrical equipment must have appropriate testing or certification.
The Convention or venue reserves the right to remove unsafe or unsuitable equipment from use.
11. CONDUCT
Artists and their team members are expected to behave professionally and respectfully towards members of the public, other artists, traders, Convention staff, venue staff and contractors.
Threatening, abusive, discriminatory, aggressive or seriously inappropriate behaviour will not be tolerated.
The Convention reserves the right to remove any artist or associated person from the event where their behaviour creates a safety issue, damages the reputation of the event or seriously breaches these Terms & Conditions.
No refund will be payable where an artist is removed for misconduct or a serious breach of these Terms & Conditions.
12. TATTOOING & CLIENT RESPONSIBILITY
Artists remain solely responsible for the tattooing services they provide, including client consultations, consent, age verification, record keeping, aftercare, hygiene and professional standards.
Artists must comply with all legal age restrictions and must not tattoo anyone where doing so would breach applicable law or licensing requirements.
The Convention is the event organiser and is not responsible for individual tattooing agreements, disputes, treatments, outcomes or transactions between an artist and their client.
13. CLINICAL WASTE & SHARPS
All artists must follow the Cornwall Tattoo Convention’s procedures for the safe disposal of clinical waste and sharps.
The clinical waste bags provided by the Convention must be used for clinical waste only. General waste, food waste, packaging, bottles, cans or any other non-clinical waste must not be placed or mixed within the clinical waste bags.
Artists are responsible for ensuring that clinical waste is correctly separated and disposed of using the designated bags provided.
Sharps bins must be used solely for the disposal of appropriate sharps and must not contain general or clinical waste that should be disposed of elsewhere.
On completion, all sharps bins must be properly and securely closed/locked in accordance with the instructions provided before being left for collection or disposal.
Artists must ensure that no loose sharps, clinical waste or other contaminated materials are left within their booth or elsewhere within the venue.
14. ATTENDANCE & OPENING HOURS
Artists are expected to have their booths set up and ready for the advertised opening times and to remain operational during the required Convention trading hours unless otherwise agreed.
Access, set-up and breakdown times issued by the Convention must be followed.
Early breakdown may only take place with permission from the Convention management team.
15. WRISTBANDS & PASSES
Artist passes and wristbands are issued only to approved individuals.
Passes and wristbands must not be transferred, copied, resold or given to another person.
Lost or replacement passes may be subject to an additional charge.
16. DAMAGE, LOSS & THEFT
Artists are responsible for their own equipment, stock, artwork, cash and personal belongings.
The Cornwall Tattoo Convention will take reasonable steps to provide a safe and professionally managed event but cannot accept responsibility for loss, theft or damage to an artist's property except where liability cannot legally be excluded.
Artists may be held responsible for damage caused by themselves, their employees, assistants or guests to the venue or Convention equipment.
17. PHOTOGRAPHY & EVENT PROMOTION
Photography and filming will take place throughout the Convention.
By participating in the Convention, artists acknowledge that photographs or footage of the event, booths and participating artists may be used by the Cornwall Tattoo Convention for legitimate event coverage, archive and promotional purposes, subject to applicable law.
18. EVENT CHANGES, POSTPONEMENT OR CANCELLATION
The Convention reserves the right to make reasonable changes to the event programme, layout, opening hours, entertainment, facilities or other operational arrangements where necessary.
If circumstances outside the Convention's reasonable control affect the event, including severe weather, venue closure, government restrictions, emergencies, public safety concerns or other force majeure circumstances, the Convention will communicate the arrangements applicable to bookings as soon as reasonably possible.
Nothing in these Terms & Conditions excludes any rights or remedies that cannot legally be excluded.
19. FAILURE TO ATTEND
Failure to attend the Convention does not entitle the booking holder to a refund.
If an artist fails to attend without notifying the Convention, the booth may be immediately reallocated.
20. COMPLIANCE WITH EVENT RULES
Artists must follow reasonable instructions issued by Convention management, security, venue management, licensing authorities and safety personnel.
Serious or repeated failure to comply with event rules may result in removal from the Convention without refund.
21. RIGHT TO REFUSE OR CANCEL PARTICIPATION
The Cornwall Tattoo Convention reserves the right to refuse or cancel an artist's participation where there is a legitimate operational, licensing, safety, legal or serious conduct concern.
Where participation is cancelled because of a breach by the artist, fees may remain non-refundable.
Where the Convention cancels an artist's participation for reasons unrelated to any breach by the artist, the Convention will determine the appropriate refund or alternative arrangement in accordance with the circumstances and applicable law.
22. COMMUNICATION
It is the responsibility of the person making the booking to provide accurate contact information and to monitor the email address supplied on the application.
Important information regarding licensing, arrival, set-up, passes and event requirements will be sent to the contact details provided.
